R.S. Bal Mandir School (“RSBM”, “we”, “our”, or “the School”) operates the RSBM School ERP Android application and related web services. This Privacy Policy explains what information is collected, why it is used, how it is protected, and the choices available to authorised students, parents, teachers, staff, and school administrators.
1. Scope
This policy applies to the RSBM School ERP mobile application, the school ERP website, and connected school services. The app is intended only for authorised members of the RSBM school community. User accounts are created and managed by the School; the app does not provide open public registration.
2. Information We Process
- Account and identity data: name, school login ID, role, class, section, employee or student identifiers, contact details, and authentication information.
- School records: attendance, leave, homework, homework reviews, tests, marks, mock tests, notices, profile details, and other academic or administrative records.
- Photos and documents: student or staff profile photographs, homework images, documents, and files uploaded for authorised school workflows.
- Staff attendance verification data: precise or approximate device location and live face images or registered face photos used only for authorised staff attendance verification.
- Device and technical data: device model, manufacturer, operating-system information, Android device identifier where required for security or attendance controls, IP address, application diagnostics, and server logs.
3. How We Use Information
- Authenticate users and provide role-based access.
- Maintain student and staff academic, attendance, leave, and administrative records.
- Verify authorised staff attendance using location and face matching.
- Deliver homework, tests, results, notices, and school communications.
- Protect accounts, prevent misuse, diagnose errors, and maintain service reliability.
- Meet legal, regulatory, safeguarding, and school record-keeping obligations.
4. Permissions
- Camera: face attendance, profile photos, homework images, and authorised document capture.
- Location: staff attendance verification. The app does not request background location.
- Internet and network state: secure communication with the School’s ERP server and connectivity status.
5. Sharing and Sale of Data
We do not sell personal information and we do not use personal information for targeted advertising. Information may be accessed by authorised School personnel and trusted service providers only when necessary to operate, secure, host, or maintain the ERP. Data may also be disclosed where required by law, court order, safeguarding obligations, or to protect the rights and safety of students, staff, or the School.
6. Children and Student Data
The app supports school operations involving students, including minors. Student information is processed for educational and administrative purposes under the authority of the School and applicable consent or lawful-basis requirements. Student accounts do not use staff face-and-location attendance features.
7. Data Security
We use HTTPS encryption in transit, role-based access controls, authentication, restricted administrative access, server protections, and operational safeguards. No system can be guaranteed completely secure, but we take reasonable measures appropriate to the sensitivity of school information.
8. Data Retention
Information is retained only for as long as necessary for active school operations, academic and attendance records, statutory requirements, dispute resolution, safeguarding, security, and legitimate administrative purposes. Retention periods may differ by record type. Data that is no longer required is deleted, anonymised, or securely archived according to School policy and applicable law.
9. Access, Correction, and Deletion Requests
Users or lawful guardians may request access, correction, or deletion of eligible personal information by contacting the School. Some records may need to be retained because of legal, academic, attendance, accounting, safeguarding, or institutional obligations. Deleting an account or record may limit access to the app.

10. Third-Party Services
The app may rely on Google Play services, Android system services, hosting, maps, or other infrastructure needed to deliver authorised functionality. Their processing is governed by their respective terms and privacy policies. The app does not contain advertising SDKs.
11. Changes to This Policy
We may update this Privacy Policy when the app, legal requirements, or school practices change. The revised effective date will be shown at the top of this page. Material changes may also be communicated through the app or school channels.
